2. Personal data that we can process

FijoVirtual may process the following categories of data, depending on the service requested or contracted:

Identification data

Name, surname, DNI, NIE, passport, equivalent document, details of legal representative, company, self-employed person or contracting entity.

Contact information

Email, telephone, postal address, address, country, province, town and other information necessary to contact you or process the service.

Billing and payment information

Tax data, billing address, contracted products, amounts, issued invoices, payment status, receipts, supporting documents and data necessary for accounting, fiscal and administrative management.

FijoVirtual does not directly store complete bank card data if the payment is made through external payment gateways.

Account details and customer area

Username, encrypted password, access history, contracted services, service configuration, support tickets, communications with customer service and data linked to account management.

Technical and safety data

IP address, browser, operating system, access logs, connection date and time, technical logs, incidents, security data, anti-fraud data and data necessary to maintain the stability and security of the service.

Data associated with the telephone service

Contracted number, origin and destination numbering, call forwarding settings, date and time of calls, duration, service used, country, operator, technical records and data necessary for provision, billing, support, security, fraud prevention and legal compliance.

These records do not include the content of the conversations.

Verification, KYC and KYB Documentation

When necessary, FijoVirtual may request identification documentation, proof of address, service invoices, company documentation, self-employed documentation, representation authorization, KYC/KYB data, information on the intended use of the numbering or other documentation required by operators, numbering providers, carriers, authorities or applicable regulations.

FijoVirtual does not request or process special categories of personal data unless it is essential due to legal obligation or due to a specific, legitimate and proportional circumstance.


3. Purposes of the processing

FijoVirtual may process your personal data for the following purposes:

Management of requests and queries

To respond to requests for information, queries, quotes, doubts, complaints or communications sent by users.

Registration and provision of the service

To process registration, activate services, configure numbering, manage call forwarding, provide telephone services, maintain the customer account and allow the correct use of the contracted services.

Identity verification and numbering requirements

To verify the client’s identity, validate documentation, meet regulatory requirements, activate national or international numbering, avoid fraud, prevent impersonations and comply with the conditions required by operators, wholesale suppliers or competent authorities.

Billing and administrative management

To issue invoices, manage collections, payments, taxes, accounting, tax obligations, economic claims and administrative documentation.

Technical support and customer service

To resolve incidents, respond to tickets, review configurations, detect technical problems, maintain service quality and address complaints.

Security and fraud prevention

To protect systems, prevent misuse, unauthorized access, attacks, fraud, abuse of service, spam, irregular traffic, illicit use of numbering or contractual breaches.

Legal compliance

To comply with legal, fiscal, accounting, commercial, regulatory, telecommunications obligations, administrative, judicial or security forces requirements when legally appropriate.

Commercial communications

To send commercial information about FijoVirtual’s own services when there is user consent or when it is legally possible due to a prior contractual relationship regarding similar products or services.

4. Legal bases of processing

FijoVirtual will process personal data in accordance with the following legal bases:

Execution of contract

When the processing is necessary to provide the contracted service, manage the account, activate numbering, configure services, bill or respond to requests related to the contract.

Compliance with legal obligations

When the processing is necessary to comply with tax, accounting, commercial, regulatory, telecommunications obligations or requirements of competent authorities.

Legitimate interest

When the processing is necessary to prevent fraud, protect the security of the service, manage complaints, resolve incidents, improve the quality of the service or defend the legitimate rights and interests of FijoVirtual.

Consent

When the user has given consent for specific purposes, such as commercial communications not covered by another legal basis, non-technical cookies or specific processing operations that require it.

The user may withdraw their consent at any time, without affecting the legality of the processing carried out before its withdrawal.


5. Verification data, KYC and numbering requirements

To contract certain services, especially national or international numbering, FijoVirtual may request additional documentation of identity, address, company, representation or intended use of the number.
This documentation may include, depending on the country, number, provider or operator:

  • DNI, NIE, passport or equivalent identification document;

  • proof of address, residence certificate, utility bill, bank statement or other valid document to prove address;

  • company, self-employed or entity documentation;

  • deed, registration certificate, tax document, VAT/NIF/CIF or equivalent documentation;

  • authorization of representation when the contracting party acts on behalf of a company or third party;

  • information on the intended use of the numbering;

  • KYC, KYB documentation or verification forms required by suppliers, local operators, carriers, authorities or applicable regulations.
    These checks can be carried out directly by FijoVirtual or through suppliers, operators, verification platforms, carriers or entities involved in the provision of the service.
    The purpose of these verifications is:

  • process the registration, activation, portability or maintenance of the service;

  • meet regulatory numbering requirements;

  • comply with conditions of operators, wholesale suppliers, carriers or competent authorities;

  • verify the identity of the client or the existence of the contracting company;

  • prevent fraud, identity theft, abuse of service, spam, irregular traffic or illicit uses;

  • address complaints, audits, internal reviews or legal requirements.
    The failure to deliver the required documentation, the delivery of incomplete documentation or the impossibility of passing the KYC/KYB verification may prevent the activation, maintenance, renewal, portability or use of certain services or numbers.


6. Call logs

FijoVirtual does not listen to or record the content of telephone conversations made through the service, unless the client expressly contracts a specific recording functionality and is informed of its conditions.

For the provision of the service, billing, support, security, fraud prevention, claims attention and legal compliance, FijoVirtual may keep technical call records, such as:

  • date;
  • hour;
  • duration;
  • origin number;
  • destination number;
  • service used;
  • country;
  • operator;
  • technical data associated with communication.

These records do not include the content of the conversation.


7. Recipients and suppliers

FijoVirtual does not sell or rent personal data.

However, to correctly provide the service, the data may be processed or communicated, when necessary, to the following categories of recipients:

  • numbering providers;
  • electronic communications operators;
  • wholesale telecommunications providers;
  • local operators;
  • technical providers of web hosting, servers, email, security, maintenance and support;
  • identity verification providers, where necessary;
  • payment providers, banking entities or collection platforms;
  • tax, accounting, legal or administrative advice;
  • public administrations, courts, tribunals, security forces and bodies or competent organizations when there is a legal obligation.

In particular, part of the infrastructure, numbering or services may be provided through providers such as DIDWW, Telnyx or other operators, carriers, wholesale suppliers or local suppliers, depending on the country, number or contracted service.

When these providers act as data processors, FijoVirtual will seek to ensure that the corresponding contract or agreement is in place in accordance with the applicable regulations.

When these providers act as independent controllers due to legal, regulatory or technical requirements, they will process the data in accordance with their own conditions and applicable policies.


8. International transfers

Some technology, communications, numbering, verification, support, analytics, email or infrastructure providers may be located outside the European Economic Area or provide services from third countries.

When this occurs, FijoVirtual will seek to ensure that adequate safeguards exist under the GDPR, such as adequacy decisions, standard contractual clauses, equivalent contractual commitments or other legally valid mechanisms.

In certain cases, the contracting of international numbering or services associated with specific countries may require that operators, suppliers or authorities of said countries process certain data necessary to activate or maintain the service.


9. Retention periods

Personal data will be kept for the time necessary to fulfill the purpose for which it was collected and, subsequently, blocked during the applicable legal deadlines.

As a guide:

Client and contract data

They will be kept as long as there is a contractual relationship and for the time necessary to address possible legal, contractual or administrative responsibilities.

Billing and accounting data

They will be kept for the periods required by tax, accounting and commercial regulations.

Support and communications data

They will be kept for the time necessary to address the query, incident or claim and, subsequently, for the period in which responsibilities may arise.

Verification, identity and numbering data

They will be kept as long as they are necessary to maintain the service, meet regulatory requirements, meet the demands of operators or suppliers and address possible legal responsibilities.

Technical and safety records

They will be kept for the time necessary to guarantee security, prevent fraud, resolve incidents, investigate misuse or comply with legal obligations.

Call logs

They will be kept for the period necessary to provide the service, billing, support, security, claims and compliance with applicable legal obligations.

Commercial communications

They will be kept until the user withdraws their consent, requests cancellation or objects to the processing.

When there is a specific legal retention obligation applicable to electronic communications services, the period provided for by said regulations will apply.


10. Commercial communications

FijoVirtual may send commercial communications about its own services when the user has consented or when there is a prior contractual relationship and the communication refers to services similar to those contracted.

You may also use the unsubscribe link included in commercial communications, when it exists.

The withdrawal of consent will not affect the legality of the processing carried out previously.

Acceptance of the Terms and Conditions or this Privacy Policy does not imply consent to receive unnecessary commercial communications. Such consent must be requested using a separate box where applicable.


11. User rights

The user can exercise the following rights:
